When a Plan Ends or Runs Over

What happens when a paid plan ends, a payment fails or is refunded, and when more players are online than your plan allows.

Two things can push a project past what its plan allows: a paid plan can end, and more players can be online than the plan covers. Neither one deletes anything or stops your game server. This page explains what changes in each case and how to get back.

When a Plan Ends

A paid plan ends in one of these ways. Lifetime is the exception: it has no end date, so only its own payment can end it (the last two rows below).

What happens Result
A one-off plan reaches its end date. The project moves back to Starter within about ten minutes of the end. About 3 days before, the owner gets a reminder.
You cancelled a subscription and the paid period runs out. The same.
A subscription renewal is declined. The plan stays active through a grace period of 3 days while Tebex retries. See below.
A payment is refunded, or a dispute over it is lost. The project moves to Starter at once.
A payment is disputed, and the dispute is still open. The status shows Payment Problem and the plan keeps running. If the dispute is won or closed, the status goes back to Active.
A plan granted by MonoAdmin reaches its end date. The project goes back to what your Tebex payments pay for, or to Starter. A project that has Lifetime goes back to Lifetime.
A Lifetime payment is refunded, or a dispute over it is lost. The project moves at once to its best subscription that still runs, or to Starter.
A Lifetime payment is disputed, and the dispute is still open. The status shows Payment Disputed and Lifetime keeps running. If the dispute is won or closed, the status goes back to Paid Once.

When a plan runs out, the owner gets an email, and a Discord message if the Billing topic is on, titled “{project} is now on the free plan”. The Plan screen shows Paid Plan Ended and “The last paid plan ended, so the project is on the free Starter plan. Nothing was deleted.”

What Happens to Your Project

The new limits apply immediately. Open panels reload, and your game server is told the plan changed and picks up the new limits. The limits are on Plans and Limits.

Nothing is deleted. Your players, punishments, notes, reports, roles, members and settings stay exactly as they were. Every feature keeps working, and only the limits change.

History beyond the free plan is hidden. Starter shows fewer days of logs, analytics and audit history than a paid plan. The older data is hidden, not erased, and the email says so: “history beyond the free plan’s retention is hidden until you upgrade again.” When you upgrade again you see what still exists.

There is a hard limit that is the same on every plan: MonoAdmin removes time-based data for good once it is 60 days old. Hidden history therefore ages out. If you stay on Starter for a while, the data that was hidden when your plan ended is removed as it passes 60 days, and upgrading afterwards cannot bring it back. Data, Privacy and Retention lists what is kept how long.

Files keep the date they were given. A screenshot or report attachment gets its delete date when it is uploaded. Moving to Starter does not shorten the date of files you already have, and upgrading later does not extend them. Files of Discord tickets never expire.

Members and roles above the new limit are kept. If you had more staff or roles than Starter allows, they all stay and keep their permissions. You cannot add more members, send more invitations or create more roles until you are under the limit again, or on a plan that fits. Invitations nobody has answered still take seats.

Slots and map speed drop. Starter has fewer Player Monitor slots and slower map updates.

To get back, buy a plan again from Settings > Plan. See Paying and Renewing.

A Failed Renewal and the Grace Period

When a subscription’s renewal payment is declined, the project does not drop at once. The plan stays active for 3 more days after the renewal date while Tebex retries the payment. During that time:

  • the Plan screen shows Payment Problem, with the message “The last payment did not go through. {plan} stays active until {date}. Pay again before then, or the project moves to the free Starter plan.”;
  • the owner gets an email, “A payment for {project} did not go through”;
  • if a retry succeeds, the plan carries on and the status returns to Renews Automatically.

If nothing succeeds by the end date, the project moves to Starter. You cannot pay by hand while the subscription is active: the plan’s button is disabled with “Your subscription already renews this plan.”

A declined one-off payment works the same way for the plan you are on: it shows Payment Problem, but the plan keeps running until the date it already had. There the plan’s button reads Pay for {plan} Again.

Refunds

Refunds are made through Tebex. MonoAdmin learns of one when Tebex reports it, marks the payment Refunded, and moves the project to Starter immediately, even if time was left on the plan. The owner gets an email, “Refund processed for {project}”. A refund is final: a later dispute event cannot undo it. A refunded payment only ends the plan it bought. If you are on a different plan by then, nothing changes. Refunding a Lifetime payment ends Lifetime: the project moves to its best subscription that still runs, or to Starter if it has none. While a project has Lifetime, no other payment, renewal or subscription ending changes its plan.

When More Players Are Online Than Your Plan Allows

The plan’s players limit is how many players MonoAdmin tracks at once. When more players are online than that, counting everyone on the server, the project is over its player limit.

Your server keeps running and nobody is turned away. The players already on your server stay, and new players can join as usual. Bans your server already has are enforced from its own copy as always. Nothing is lost.

What Locks

The panel shows the banner “More players are online than your plan allows”. Until the count drops or the plan is upgraded:

  • Only the Dashboard and Settings stay open.
  • Inside Settings, only Overview, Server Link, Game Settings, Display, Features, Advanced, Plan, Payments and Delete Project stay open. Members, Roles, Invites, Discord, Webhooks, Staff Scoring and Audit Logs lock.
  • Other pages say “That page is locked while the server is over its player limit.”
  • The in-game panel shows “More players are online than the plan allows, so most pages are locked. The owner can change the plan in the web panel.” Most in-game menu actions are paused as well.
  • Members who are not the owner see “Ask the project owner to upgrade the plan.”

Untracked Players

Players beyond the limit are untracked. They play normally, but MonoAdmin does not keep a profile or visit for them. They do not appear in the player list and cannot be acted on from the panel. A staff member who joins while the project is full is untracked too, so they cannot use the in-game menu on that visit.

Getting Out of It

The lock lifts by itself when enough players leave. Or the owner can upgrade: the Plan screen shows the smallest plan that covers the players online, marked Fits Your Server, and unlocks every page as soon as the payment is confirmed. If more players are online than the largest plan covers, the screen says “No plan covers {online} players” and asks you to contact support (hello@monoadmin.net) for a higher player limit.
